Need a nudge when a client hasn’t heard from you in six months or a device slips out of warranty? Define the rule once and Kinabase keeps watch, displaying a clear icon in every relevant view, including Portals shared with customers.
Why it matters:
- Catch risks instantly – icons and colours draw your eye to overdue, expiring, or high-priority items as soon as you open a view.
- Focus your team – sort by alert level so colleagues tackle critical work first.
- Share safely – surface only the alerts that matter in each Portal, keeping external users informed without exposing internal logic.
How it works:
- Open any Collection, then select the new Alerts tab in Settings.
- Click Add alert, give it a name, choose a severity (Critical, Warning, Info, Success) and write a helpful message.
- Build one or more conditions—just like a Filter —such as

is greater than
180 days
. - Save. The Alerts column appears automatically in List and Grid views; hover the icon to read details.
- (Optional) In Portal settings, tick which alerts you want to display for each navigation item.
