Overview

We're looking for a Systems Analyst to support our Service Delivery function, helping ensure the systems our customers and internal teams rely on are stable, efficient and continuously improving.

This is a role for someone who thrives in a small company environment where priorities can shift quickly, so adaptability and being able to think on your feet is key. You'll be the kind of person who enjoys digging into technical issues, translating needs into practical solutions and tightening processes so work runs more smoothly day-to-day.

A key part of this role involves supporting businesses through digital transformation, whether that's rolling out CRM/ERP systems, migrating data between platforms, or helping clients configure Kinabase to replace legacy tools. You'll guide customers and internal teams through change, ensuring smooth transitions and strong adoption.

You'll work closely with our Head of Operations, alongside developers and end users, to maintain and improve the IT infrastructure that underpins delivery, onboarding and ongoing support.

  • Lead CRM/ERP implementations and system rollouts, ensuring businesses get maximum value from new tools
  • Plan and execute data migrations, mapping legacy systems to new platforms while maintaining data integrity
  • Maintain and monitor systems so teams can deliver smoothly and customers get a great experience
  • Identify improvements and upgrades that increase productivity and reduce friction, especially through automations and AI
  • Support change control and system updates with clear communication and documentation
  • Reduce recurring issues by solving root causes and improving how systems are implemented and maintained

What You'll Be Doing

Lead CRM/ERP implementations and system rollouts

  • Support customers through digital transformation projects, rolling out new business systems (CRM, ERP, project management tools) across their organisations
  • Configure and customise Kinabase to meet client requirements, replacing spreadsheets, legacy databases and disconnected tools
  • Work with clients to understand their business processes and translate these into effective system configurations
  • Deliver product demonstrations and workshops that showcase how Kinabase can solve specific business challenges
  • Develop and maintain onboarding processes to ensure new clients get up and running quickly

Plan and execute data migrations

  • Lead data migration projects, extracting data from legacy systems and mapping it to new platforms
  • Document interfaces between old and new systems, ensuring data integrity throughout the transition
  • Create migration scripts and validation processes to catch errors before go-live
  • Work with clients to clean, deduplicate and structure their data for import
  • Support businesses in moving away from spreadsheets, Access databases, or outdated CRM systems

Troubleshoot and support users

  • Troubleshoot technical issues and resolve problems pragmatically
  • Support users through system updates and change control, ensuring minimal disruption
  • Provide training and user guides to support adoption of new or updated systems
  • Cultivate strong relationships with clients, ensuring high levels of customer satisfaction

Translate needs into deliverable work

  • Gather requirements and translate them into clear briefs for the technical team
  • Write reports on requirements and identify options for solutions (new systems, upgrades, modified systems), assessing technical and business suitability
  • Conduct requirements analysis and prepare proposals for modified or replacement systems
  • Balance customer expectations with realistic development and implementation timelines

Help plan and deliver system changes

  • Produce feasibility and costings reports and agree realistic implementation timeframes
  • Work closely with programmers and developers to build solutions, new systems and IT frameworks
  • Work with testers and end users to ensure compatibility and user satisfaction
  • Draw up, supervise and document testing schedules for complete systems
  • Oversee implementation activities and coordinate go-live support
  • Support adherence to budgets and delivery deadlines

Manage risk and keep learning

  • Carry out risk analysis and plan mitigations to protect our IT systems
  • Keep up to date with emerging technologies, trends and tools relevant to our environment
  • Foster a culture of continuous improvement by gathering feedback from customers and stakeholders

What We're Looking For

Essential skills and attributes

  • Broad technical expertise across IT hardware, software, systems analysis/design tools, programming and scripting, databases and SQL
  • Experience with CRM/ERP systems and familiarity with their features, terminology and common implementation challenges
  • Hands-on experience with data migration projects, including data extraction, transformation, validation and import
  • Strong analytical skills and a methodical, investigative approach with attention to detail
  • Clear, confident communicator who can explain technical concepts to non-technical audiences, manage expectations, and build strong client relationships
  • Strong organisation, planning and time management; comfortable handling multiple priorities and balancing competing demands
  • A pragmatic, creative problem solver who stays calm under pressure and adapts quickly
  • Team player with initiative and self-confidence, comfortable owning problems and seeing them through
  • Genuine interest in how businesses operate and how systems can improve productivity and efficiency

Desirable experience

  • Experience in digital transformation and rolling out new IT systems across organisations
  • Familiarity with quality management standards such as ISO 9001 or ISO 27001
  • Background in consulting, professional services or customer-facing technical roles
  • Experience helping businesses move away from spreadsheets or legacy databases to modern platforms

Working Hours and Flexibility

  • Working hours at 9:00-5:30
  • Mainly office based with the option to work from home one day a week

Remuneration

Salary is dependent on experience.
