Need extra details before an automation can finish the job? Now you can ask for them on the spot. The new automation form step opens a tidy modal, collects user input and feeds those values straight into the remaining actions—so you keep work moving without spreadsheets or side chats.
When you allocate stock, approve a request or schedule maintenance, you often need a quick answer—how many items, which kit, which date. Automation forms give you that answer in seconds while staying in flow. Need a refresher on how to set up Automations? Read our full Automations guide.
Why it matters:
- Gather real-time data – prompt colleagues for any text, number, date or record selection as the automation runs.
- Stay accurate – set filters and validation, for example stop quantities exceeding what’s in stock.
- Reuse instantly – captured values slot into later steps, formulas and notifications without extra mapping.
How it works:
- In Automations, add a Form step as the first Action after your Trigger.
- Choose the Fields you want to collect, such as location, quantity or more. Set default values and validation rules for each of these.
- Reference these form values in subsequent steps using the “Form values” picker — no code needed. For example, use an additional Step to ‘Update the current record’ and update the location field with the new form value.
When to use it:
- Warehouse staff click “Allocate” on an Inventory record, enter the quantity and scan the kit QR code—stock moves in one go.
- Project managers sign off an expense by confirming budget code and approval date—all logged automatically.
