Kinabase automations now let you reference the exact values captured during any stage change, so you can build pinpoint workflows without extra fields or workarounds. Spend less time chasing edge-cases and more time moving work forward. You can now reference stage change values directly in your automation trigger conditions, giving you laser-precise control over when actions fire.
Previously, if you wanted an automation to check the value selected during a stage move — for example who approved it, or the chosen reason, or the amount — you needed extra fields or complex formulas. Now every value recorded on a stage change is instantly available in the filter builder, so small teams and power users alike can build smarter workflows in minutes.
Use your stage change data to control your automations, without extra fields or formulas.
Why it matters:
- Target actions – trigger follow-ups only when the approval toggle is Yes or the discount exceeds 10 %, keeping noise low.
- Remove workarounds – skip duplicate fields and formulas; the data you need is already captured.
- Protect compliance – ensure records move forward only when required information is present, reducing manual checks.
How it works:
- Open Automations, click New automation, and pick “When a record changes stage”.
- In the Conditions panel, search for any field shown during your stage change (approver, reason, amount, etc.).
- Set your Conditions using the Operators (Greater than, equal to etc) and Values or limits, such as 'If Approval is Yes' or 'If Discount is greater than 10 %'
- Then finish your deseired automation steps and click Save
- your automation now listens for those exact inputs and only triggers if those conditions are met.
When to use it:
- Sales Managers sending a welcome pack only when a deal moves to Closed or Won and the contract type is “Annual”.
- Finance Teams escalating expenses if the approver selects “Urgent” during approval.
- Volunteer Coordinators to ensure an extra volunteer is sent on a visit, if the organiser ticks 'Additional support is needed'.
