Keep every process on track with new workflow validation. Add simple rules that stop or warn users when a record doesn’t meet your own conditions – no more chasing missing data or approvals.
Workflow validation kicks in the moment someone tries to move a record between workflow stages. Mandatory validators block the workflow action; advisory ones surface a friendly warning. Either way you decide the criteria; from empty fields to complex expressions.
Why it matters:
- Ensure completeness – prevent half-filled records from slipping into the next stage, saving follow-up time.
- Set clear expectations – make it explicit which fields are validated at stage change.
- Build confidence – colleagues see clear warnings or errors, so they understand what to fix straight away.
How it works:
- Add or Edit any workflow action and open the new Validation tab.
- Add one or more validators: set Severity (Warning or Requirement), pick the fields, and craft a helpful message.
- Save your validator, confirm changes to the workflow Action, and save the workflow stage. From now on Kinabase evaluates the rules every time a record moves.
When to use it:
- Quality teams enforcing mandatory inspection steps before shipping.
- HR managers ensuring required contract details are completed before onboarding continues.
- Legal team ensuring compliance checks are completed before any work is started.
