Capture crucial details with mandatory workflow fields

Missing key information slows decisions and causes confusion. You can now set mandatory fields – or demand a brand-new value – whenever a record moves to the next workflow stage, so every hand-off arrives complete.

With mandatory fields on stage changes, Kinabase checks the data before the move happens. If a required field is blank, or you’ve asked for an updated value, the user must fill it in first. Otherwise they won't be able to progress to the next workflow stage. This means you have all the information needed when it is needed. Enabling smoother approvals, streamlined handovers and fewer follow-up emails.

Why it matters:

  • Guarantee completeness – stop records advancing with blank or out-of-date details.
  • Protect data quality – ensure every new stage captures the right facts, the first time.
  • Cut follow-ups – avoid chasing colleagues for missing information later on.

How it works:

  1. Open collection configuration & edit your desired workflow action.
  2. Switch to the Fields tab and tick the desired field.
    Use the down chevron to open field options.
  3. Here you will find field validation options:
    • Use the "Required" toggle to make a field mandatory
      (Indicated by a red asterisk next to this field)
    • or the "Require new value" toggle to force users to enter new information to that field.
      (Indicated by an update arrow next to this field)
    • You can also set max/min limits for numerical & date field types.
  4. Click 'Confirm' on the workflow action and Save the workflow changes.

Now when someone uses that workflow action, Kinabase validates the record and ensures the right information has been provided. If not, Kinabase will block the workflow change until all rules pass.

When to use it:

  • Sales managers who need an up-to-date close date before marking a deal as Won.
  • HR teams collecting signed contracts before moving a candidate to Hired.
  • Quality Engineers to make sure measurements are collected by technicians before completing an operation.
