A
Action
Process & Automation
A button that moves a record from one Workflow Stage to the next, optionally requiring permissions, extra fields, signatures or validation before it can be used.
Usage
Click the Approve Action to move this expense claim into the Approved stage.
Examples
- Add an Action called “Approve” so managers can move claims into the Approved stage.
- You can require a signature before an Action is allowed to run.
- Each Action can trigger its own set of Automations when it's used.

Activity
Communication
A logged event or note on a record — such as an email, phone call or meeting — that builds up a timeline of interactions over time.
Usage
Log an Activity every time you speak to the client so the whole team can see the history.
Examples
- Add an Activity to note that you called the supplier about a late delivery.
- Activities keep a timeline of everything that's happened on a record.
- React to an Activity with an emoji instead of leaving a threaded comment.

Aggregation Field
Data
A Field that automatically summarises values from records linked through a Linked Collection Field, using a mode such as Sum, Count, Average, Minimum or Maximum.
Usage
Add an Aggregation Field to Projects to total the value of every linked Invoice.
Examples
- Use an Aggregation Field to count how many open Tasks are linked to a project.
- Aggregation Fields update automatically as linked records change.
- You can aggregate by Sum, Average, Minimum, Maximum or Standard Deviation.

AI Assistance
Views & Reporting
AI-powered suggestions that Kinabase creates from a plain-English request, such as a proposed Filter or Chart, for you to review before using.
Usage
Use AI Assistance in Search to turn a plain-English request into a suggested Filter or Chart.
Examples
- AI Assistance can suggest a Filter from the request you enter in Search.
- Describe the summary you need and AI Assistance can propose a Chart.
- Review AI Assistance suggestions before using them in your work.

Alert
Communication
A configurable warning that highlights an issue with a record, based on conditions you set on an alert field, such as stock nearing its expiry date.
Usage
Set an Alert to flag any equipment that's due an inspection within 30 days.
Examples
- Use an Alert to warn your sales team before a lead goes cold.
- Alerts appear on the record and as a column in the collection table.
- Configure an Alert to highlight devices slipping out of warranty.

Automation
Process & Automation
A rule that automatically runs one or more Steps, such as sending a notification or updating a record, when its Trigger conditions are met.
Usage
Set up an Automation to send an email whenever a record moves to the Completed stage.
Examples
- You can trigger an Automation when a record is added, updated, or on a schedule.
- Automations can add tasks, send notifications, or update fields without any manual work.
- Check the History tab on an Automation to see whether recent runs succeeded or failed.

A user type with access to manage your organisation's Plan, subscription and invoices, in addition to their standard permissions.
Usage
Ask your Billing Admin to upgrade the organisation from Pro to Max.
Examples
- Only a Billing Admin can update the payment method on your account.
- Invite a colleague as a Billing Admin if they'll be managing invoices.
- The Billing Admin user type sits alongside Standard user and System admin.

Administration

Usage

- Document Templates can pull colours and fonts straight from the Brand Guide.
- Update the Brand Guide once and it applies across every Portal.

Chart
Views & Reporting
A visual graph — Line, Bar, Pie, Scatter or Bubble — that displays data from a Collection, added as a Widget on a Report or Dashboard.
Usage
Add a Bar Chart to show monthly sales totals by region.
Examples
- Choose a chart type and an aggregation, such as Sum or Average, to build your Chart.
- Charts can be added to a Report on the Dashboard or on a record's Reports tab.
- Ask the AI chart generator to suggest a Chart from a plain-English description.

Child Collection
Data
A standalone Collection nested under a parent Collection, connected to it by a linked Field, with its own pages, search and sidebar entry — created directly or by converting a Collection List.
Usage
Convert your Order Items list into a Child Collection so each item gets its own record page.
Examples
- A Child Collection appears nested beneath its parent Collection in the sidebar.
- You can convert a Collection List into a Child Collection when its items need their own pages.
- Every record in a Child Collection stays linked back to its parent Record.
Colleague
People & Permissions
Someone in your organisation with a Kinabase account; the built-in Colleagues list is where their profiles are managed.
Usage
Add your new starter as a Colleague so they can sign in on their first day.
Examples
- Every Colleague appears in the built-in Colleagues list.
- Assign a Role to each Colleague to control what they can access.
- A Colleague's User Type determines their baseline permissions in Kinabase.

Collection
Data
A container for records in Kinabase, similar to a table in a spreadsheet or database, used to organise one type of data such as Projects or Contacts.
Usage
Create a Collection called Projects to store all your project records.
Examples
- Each Collection has its own set of Fields, Views and permissions.
- You can filter and sort the records within any Collection.
- Collections help you organise different types of data in Kinabase.

Collection List
Data
A subcollection nested inside a record for repeating line items — such as order items or components — shown as a table within the parent record.
Usage
Use a Collection List to capture every line item on a Purchase Order.
Examples
- Add a Collection List to log each product, quantity and cost under one order.
- A Collection List can have its own fields, just like a top-level Collection.
- Aggregation Fields can total values from a Collection List.

Computed Field
Data
A Field whose value is calculated automatically from a formula or Expression, rather than entered manually, and updates whenever the underlying data changes.
Usage
Add a Computed Field to calculate the total order value automatically.
Examples
- Computed Fields recalculate in real time as the fields they reference change.
- Use a Computed Field to combine a first and last name into a full name.
- You can compute a Number, Text, Date, Duration or Select value.

Data Source
Integrations
A connection to an external database — Microsoft SQL Server or MySQL — that syncs records from a table or view into a Collection.
Usage
Connect a Data Source so stock levels sync in from our warehouse database automatically.

- Set up a Data Source to keep a Collection in sync with an external system.
- Test the connection before saving a new Data Source.
- Records synced from a Data Source are updated automatically as the source data changes.

One of the per-collection side-panes — Mind Map, Bubble Chart, Map, Record Roulette, Word Cloud or Leaderboard — that offers a different way to explore records beyond the standard Table, Side by side and Timeline views.

Turn on the Map Data Visualisation Tool to see all your sites plotted geographically.
Examples
- Enable the Leaderboard Data Visualisation Tool to rank colleagues by sales.

A reusable document design, built in the Document Editor and configured per collection, used to generate documents such as purchase orders or delivery notes with data merged in from a record.
Usage

- Insert a Merge Field into a Document Template to pull in the customer's name automatically.
- Preview a Document Template before printing it from a record.

Communication
A dedicated email address — either specific to a record or a shared inbox address — that logs incoming emails as Activities automatically.
Usage
Forward supplier emails to the record's Email Forwarding address to log them automatically.
Examples
- Copy a record's Email Forwarding address to log every reply as an Activity.
- Use the shared inbox address for Email Forwarding when you don't know which record an email belongs to.
- Email Forwarding matches incoming messages to Contacts and Organisations automatically.

Event Log
Views & Reporting
An organisation-wide history, visible only to System admins, that records security and system events such as users being created or collections being deleted.
Usage
Check the Event Log to see who deleted the Suppliers collection.
Examples
- The Event Log records every automated system and security event across your organisation.
- Only a System Admin can view the Event Log.
- Unlike Activities, entries in the Event Log are generated automatically, not added by users.

Export
Data
The process of downloading data — records, activities, tasks or data structure — from Kinabase as a CSV file for use elsewhere.
Usage
Export the Deals collection to CSV so finance can review it offline.
Examples
- You can Export just the visible columns or every column in a collection.
- Exporting several collections at once downloads a zipped file of CSVs.
- Use Export to back up your data structure before making major changes.

Expression
Data
The formula syntax used throughout Kinabase — in Computed Fields, Filters, permissions, validation and Automations — to reference fields and calculate values.
Usage
Write an Expression to work out whether a quote has expired.
Examples
- Use an Expression to calculate the number of days between two dates.
- Filters and Computed Fields both use the same Expression syntax.
- Type $ in a formula to open the field-suggestion dropdown for building an Expression.

Someone outside your organisation who accesses Kinabase through an external Portal, where they can view permitted information and complete forms without access to the main app.
Usage
Invite the customer as an External User so they can complete onboarding in the Portal.
Examples
- External Users are matched to records in the Portal's user data source.
- Use visibility conditions to tailor a Portal form to an External User.
- An External User only sees the Portal content and data they are allowed to access.

Field
Data
A single piece of information stored on every record in a Collection, such as text, a number or a date, similar to a column in a spreadsheet.
Usage
Add a Field called Email Address to the Contacts collection.
Examples
- The Status Field lets you track whether an order is Open or Closed.
- You can change a Field's type to Text, Number, Date and many others.
- Set permissions on a Field to control who can read or edit it.

Documents & Files
The connected location where Kinabase stores and organises files attached to Records, such as documents, images and supporting evidence.
Usage
Connect a File Storage provider so your team can keep documents alongside the right Records.
Examples
- Configure File Storage before enabling Files on a Collection.
- Files attached to Records are organised in your chosen File Storage provider.
- Kinabase can send documents from File Storage to an accounting provider as invoice or bill attachments.

Views & Reporting
A condition, or set of conditions, applied to a Collection or View to narrow down which records are shown.
Usage
Apply a Filter to show only records where Status is Open.
Examples
- Combine several filters together to narrow down exactly the records you need.
- Save a Filter as part of a View so you can reapply it in one click.
- Ask Global Search to generate a Filter from a plain-English description.

An Automation whose first Step opens a data-entry screen, used to collect structured information from colleagues, or from external users via a Portal.
Usage
Create a Form so warehouse staff can log stock reallocations from a record.
Examples
- Add a Form so users can capture a reason when they close a support ticket.
- A Form can run further Steps once it's submitted, such as creating a record.
- Public Forms are delivered to external users through a Portal.

Global Currency Field
Data
A Field type that stores a monetary value in a chosen currency and automatically converts it to your organisation's base currency using exchange rates, so figures stay consistent across reports.
Usage
Use a Global Currency Field so teams can enter local amounts while reporting stays consistent in base currency.
Examples
- Add a Global Currency Field to capture supplier costs in USD, EUR and GBP within one collection.
- Global Currency Fields can be sorted and totalled consistently because they're normalised to base currency.
- Each Global Currency conversion keeps a record of the rate and date used.

Process & Automation
The site-wide search tool, opened with Command + K or Ctrl + K, or by using the search bar in the navigation bar, used to jump straight to records, collections and settings, or run quick actions such as nudging a colleague.
Usage
Press Command + K and start typing to jump to any record in seconds.
Examples
- Open Global Search and look up a customer by name.
- Global Search can suggest an AI-generated filter from your query.
- Use Global Search to nudge a colleague about an overdue task.

Import
Data
The process of bringing data — records, activities, tasks or data structure — into Kinabase in bulk from a CSV file.
Usage
Import your existing contacts from a CSV file into a new collection.
Examples
- Kinabase walks you through mapping CSV columns to Fields during an Import.
- Choose to create new records or update matching ones when you Import.
- Fix any errors in the downloadable CSV and re-upload it to complete the Import.

Administration
A paid seat that grants a colleague access to Kinabase, assigned when you invite them and billed according to your organisation's Plan.
Usage
You'll need a spare Licence before you can invite another colleague.
Examples
- Inviting a new colleague uses up one Licence on your subscription.
- Deactivate a colleague to free up their Licence for someone else.
- Your Plan determines how Licences are billed each month.

Data
A Field that links a record to one or more records in another Collection; Lookup and Aggregation Fields use this link to pull in or summarise related data.
Usage
Add a Linked Collection Field on Invoices so each one points back to a Customer record.
Examples
- Use a Linked Collection Field to connect Orders to the Products they contain.
- A Linked Collection Field can allow a single link or multiple links, depending on the Relationship.
- Lookup Fields and Aggregation Fields both build on a Linked Collection Field.

Lookup Field
Data
A Field that pulls a single value from a record connected via a Linked Collection Field, chosen using selection criteria you set — for example, the latest quotation date or the highest risk score.
Usage
Use a Lookup Field to show the most recent quote date from each customer's linked quotations.
Examples
- Set up a Lookup Field to pull in whichever linked invoice has the highest value.
- Lookup Fields aren't edited directly — their value comes from the record they reference.
- Choose Earliest or Latest as the selection criteria for a date-based Lookup Field.

Documents & Files
A placeholder inserted into a Document Template using the @ picker that pulls in a value — such as a field, signature or piece of metadata — when the document is generated.
Usage
Type @ in the Document Editor to insert a Merge Field for the customer's name.
Examples
- Insert a Merge Field to show the record's ID on every printed document.
- Merge Fields can pull in Fields, signatures, or metadata like the creation date.
- There's no need to type brace syntax — the @ picker inserts each Merge Field for you.

Communication
A message from Kinabase that alerts you to events such as a task being assigned, a due date approaching, or an Automation completing, delivered in-app, by email or as a desktop notification.
Usage
You'll get a Notification when a task assigned to you is due soon.
Examples
- Choose a priority — Urgent, High, Medium or Low — for each type of Notification.
- Notifications appear in the bell icon and can also be sent by email.
- An Automation can send a custom Notification as one of its Steps.

Integrations
An email sent from Kinabase to an external recipient, either composed manually from a record or generated by an Automation Step, using a provider such as Microsoft Azure Communication Services, SendGrid or Mailgun.
Usage
Send an Outbound Email straight from the record to update the customer on their order.
Examples
- Set up a shared address for Outbound Email so the whole team can send from it.
- An Automation Step can send an Outbound Email automatically when a stage changes.
- Every Outbound Email you send from a record is logged as an Activity.

The level of access — No Access, View Only, View & Edit or Not Enabled — granted through a Role for a specific area of Kinabase, such as records, tasks or configuration.
Usage
Set the Permission for Records to View & Edit so the Sales role can update deals.

- Permissions control access to records, activities, tasks, files and configuration separately.
- You can grant a Permission at the collection level or override it per Stage.
- Boolean permissions such as Import, Export and Bulk Delete are either on or off.

Your organisation's subscription tier — Starter, Pro or Max on a self-service basis — which determines which features and limits are available.
Usage

- Some features, like accounting integrations, are only available on the Max Plan.
- A Billing Admin can change your organisation's Plan at any time.

- External portal users sign in to a Portal using a passwordless email link.

Someone who signs in to a Portal rather than the main app — either a colleague using an internal portal, or an external collaborator, such as a customer, using an external portal.
Usage
Invite your client as a Portal User so they can track their own orders.
Examples
- A Portal User only sees the collections and views exposed through their Portal.
- External Portal Users sign in with a passwordless email code rather than a password.
- You can restrict what a Portal User can see using Permissions on each Portal View.

A collection displayed inside a Portal, configured with its own data source, layout, forms, actions and access rules, separate from the main app's views.
Usage
Add a Portal View so clients can see just their own orders, not the whole collection.
Examples
- Configure a Portal View's display as a table or a card catalogue.
- Restrict a Portal View to only the fields external users should see.
- Attach a Form to a Portal View so users can submit data directly.

Primary Field
Data
The main Field in a Collection used as the title or identifier for each record, shown at the top of the record and wherever the record is referenced elsewhere.
Usage
Set Name as the Primary Field so every record shows a friendly label.
Examples
- The Primary Field appears at the top of the record detail view.
- Choose a descriptive Primary Field, like Project Name, for clarity.
- A collection can't deactivate a Unique Identifier while it's also set as the Primary Field.

Data
An individual entry within a Collection, like a row in a database table, representing one item or entity such as a customer or an order.
Usage
I just added a new Record for the Acme Corp contact in our Customers collection.
Examples
- Each Record in the Employees collection represents one person.
- Open a Record to see all its Fields, Activities and Tasks.
- You can print, duplicate or delete a Record from its context menu.

Reference Data
Data
Shared lists of values, managed centrally, that you can reuse as Select or Multi-Select options across multiple Collections.
Usage
Maintain your list of departments as Reference Data so every collection stays in sync.
Examples
- Update a Reference Data list once and every collection using it updates too.
- Use Reference Data for values like tax codes that several collections share.
- Reference Data keeps option lists consistent instead of duplicating them per collection.

Relationship
Data
A link between two Collections, created by adding a Linked Collection Field to one or both sides, that lets records reference related records elsewhere in Kinabase.
Usage
Create a Relationship between Orders and Customers so each order points to the right account.
Examples
- A Relationship can be one-to-many or many-to-many, depending on the fields you add.
- Name the Relationship's outgoing and incoming verbs so it reads naturally on both sides.
- Deleting a record can cascade across a Relationship, depending on how it's configured.

A collection of Widgets — such as Charts and Quick Add tools — grouped together on the Dashboard's Reports tab or a record's Reports tab to analyse and share data.
Usage
Build a Sales Report with a few charts to share with stakeholders.
Examples
- Add widgets to a Report to combine several charts on one page.
- Reports can be Shared with your team or kept Personal to just you.
- A record's Reports tab shows charts automatically filtered to that record.

Role

A named set of Permissions you assign to colleagues to control what they can see and do in Kinabase; every organisation also has a built-in Everyone role.
Usage
Create a Sales Role with View & Edit access to the Deals collection.

- Assign a Role to a colleague to bundle several permissions together.
- The built-in Everyone Role sets the baseline access for every colleague.
- A Role's permissions can never be lower than what Everyone already has.

Data
An optional Field in a Collection shown alongside the Primary Field to provide extra context when identifying or selecting a Record.
Stage
Process & Automation
A step within a Workflow that shows a record's current status, displayed as a coloured badge on the record.
Usage
Move the record to the In Progress Stage once work begins.
Examples
- Stages help you see at a glance where each record stands in your process.
- Use an Action to move a record from one Stage to the next.
- You can restrict who's allowed to move records into certain Stages.

Standard User
People & Permissions
The default user type for colleagues, with access determined entirely by their assigned Roles rather than by administrative privileges.
Usage
Most of your colleagues will be Standard Users, with access based on their Roles.
Examples
- A Standard User can't access System Admin settings.
- Give a Standard User exactly the access their Role provides — no more, no less.
- You can change a colleague's User Type from Standard User to System Admin at any time.
Step
Process & Automation
A single action within an Automation, such as adding a task, sending an email, or updating a record, run in sequence when the Automation's Trigger fires.
Usage
Add a Step to send a calendar invite once the meeting record is created.
Examples
- Chain several Steps together so one Automation handles the whole process.
- Some Steps, like Open a form, only work with a Manual trigger.
- Use Add condition between Steps to branch the Automation based on field values.

Usage
Ask your System Admin to add a new field to the Projects collection.

- Only a System Admin can create new collections or edit roles.

- A System Admin sees every collection, regardless of role-based permissions.

Usage

- Drag a Task onto the Calendar to schedule when you'll work on it.

Per-field time-series history — such as sensor or metering readings — tracked over time for a collection and shown as charts on each record's Telemetry tab.
Usage
Enable Telemetry on the Machines collection to track temperature readings over time.

- View a record's Telemetry tab to see how a field's value has changed over the last week.
- Choose how long to retain minute-by-minute detail when you set up Telemetry.
- Telemetry charts support annotations so you can mark significant events.

The event that starts an Automation, such as a record being added or updated, a Stage change, a manual click, or a scheduled date being reached.
Usage
Choose Record Added as the Trigger so the automation runs on every new order.
Examples
- A Scheduled Trigger runs relative to a date field on each record, not a cron schedule.
- Use a Stage Change Trigger to notify a manager when an approval moves forward.
- A Manual Trigger surfaces the automation as a button on a record's context menu.

Data
A subtype within a Collection that lets a subset of records share their own fields, validation rules and permissions, while still belonging to the same Collection.
Usage
Categorise your Projects by Type, such as Internal or Client.
Examples
- Give each Type its own fields so Internal and Client projects capture different details.
- Create a View scoped to a single Type when you only need to see one category.
- A collection's Type field decides which set of fields a record uses.

Unique Identifier
Data
A distinct ID automatically generated for each record in a Collection, using a sequential number, an abbreviation, or a custom format you define.
Usage
Turn on a Unique Identifier so every invoice gets a number like INV-0001.
