Manage how you sign in to Kinabase
Your Security page controls how you sign in and which methods you use - password, Microsoft 365, or both together with multi-factor authentication. Keeping it up to date ensures only you can access your account.
1. Opening security settings
1. Open Settings
Click your name in the bottom-left corner of Kinabase, then select Settings.
2. Go to Security
You'll find it under the Account section.

2. Changing your password
This option only appears if password sign-in is enabled for your organisation.
1. Click Change Password
You'll find this next to the Password item.
2. Enter your details
Enter your current password (if prompted) and choose a new one.
3. Save your changes
Use a strong, unique password - ideally a mix of letters, numbers, and symbols - to keep your account secure.
3. Setting up multi-factor authentication
Multi-factor authentication (MFA) adds an extra code check when you sign in with your password, so a stolen password alone isn't enough to access your account. Kinabase supports an authenticator app using time-based one-time codes, plus backup codes - there's no SMS/text-message option.
1. Click Multi-factor authentication
In Security, click the Multi-factor authentication item, then Set up MFA.
2. Scan the QR code
Open your authenticator app (such as Google Authenticator or Microsoft Authenticator) and scan the code shown. If you can't scan it, click Copy key to enter it manually instead.
3. Verify your app
Enter the current code from your authenticator app, then click Verify and enable.
4. Save your backup codes
Kinabase generates a set of one-time backup codes. Save these codes somewhere safe - download them or copy them all - in case you ever lose access to your authenticator app.
At sign-in, if you don't have your authenticator app to hand, select Use a backup code instead. Each backup code can only be used once.
5. Disabling MFA
Click the options menu (⋯) next to Multi-factor authentication, then select Disable.
4. Signing in with Microsoft 365
If your System admin has enabled Microsoft 365 for your organisation, you can use your Microsoft account to sign in to Kinabase.
1. Check the Microsoft 365 section
You'll see a status indicating whether you're connected or not.
2. Connect your account
If it's disabled, contact your System admin to enable Microsoft 365 sign-in at the organisation level. Once that's set, click Connect.
3. Authenticate through Microsoft
A Microsoft sign-in window opens. Sign in with your Microsoft credentials.
4. Return to Kinabase
Once authenticated, you'll see a "Connected" status for your Microsoft 365 account.

5. Disabling or removing Microsoft 365
1. Locate your connected account
Under the Microsoft 365 section, you'll see your linked account.
2. Open the ⋯ menu
Select Disable Sign In (stops Microsoft 365 sign-in but keeps the connection) or Remove (completely unlinks your account).
3. Confirm your choice
Make sure you have a valid password set if you plan to sign in without Microsoft 365.
Disabling or removing Microsoft 365 sign-in prevents you from using that method to sign in, but does not delete your Microsoft 365 user data in Kinabase.
