Customise your alerts


Kinabase Notification

s help you stay informed about important changes - like Task s assigned to you, upcoming start times, or approaching due dates. You choose how you receive them and set different levels of importance, so you only get interrupted for what matters.


1. How notifications reach you

Kinabase can notify you through three channels:

  • In app - always on. You'll see these in the notification centre no matter what.
  • Email - sent to your chosen email address, batched every 30 seconds or so.
  • Desktop app notifications - native pop-ups from your operating system, but only when you're using the Kinabase desktop app and its window isn't focused. There's no browser push notification option - if you use Kinabase in a web browser, you'll only get in-app and email alerts.

2. Notification settings

1. Open Settings

Click your name in the bottom-left corner of Kinabase, then select Settings.

2. Go to Notifications

You'll find it under the Account section.


3. Select channels by priority

In the Preferences section, decide how you'd like to be notified, by importance. The In app row is always on; tick or untick Email for each priority level (Urgent, High, Medium, Low) and for each of your email addresses.

4. Save your changes

Click Update to confirm.


3. Setting priority per event type

Below Preferences, the Notification Priorities section lets you assign a priority - or turn an event off entirely - for each category of event:

Set any of these to Urgent, High, Medium, Low, or Off. Notifications from automations and from Nudge aren't configured here - see below.


4. The notification centre

Click the bell icon (titled Notifications) to open the notification centre. An unread badge shows your count, capping at 99+.

  • Switch between the All and Unread tabs.
  • Use Mark as read or Dismiss on individual notifications.
  • Click Clear all in the footer to clear everything at once.

5. Nudging a colleague

Nudge is a quick, friendly way to catch a colleague's attention. Open global search (via the search bar or Command + K / Ctrl + K) and type nudge followed by their name. They'll see " nudged you!" as a Low-priority notification - and if they're using the Kinabase desktop app, their window will shake.


6. Notifications from automations

If you need more tailored alerts - like a reminder that fires when a task is due in 15 days - build them with an Automation

. Any automation can include a Send a notification step, with fields for Title, Recipients, and Priority (Medium by default).

For example, you could set a Scheduled trigger on your Projects Collection

to fire when a task's due date is 15 days away, then add a Send a notification step to alert the assignee. You can also choose specific people to email if an automation fails, in its Advanced settings.

Notification tips

  • If everything is set to Urgent, you risk notification overload - set priorities deliberately.
  • As your role changes, revisit these settings so they still match your workflow.
  • Pair notifications with well-assigned roles, so only the relevant people get alerted.
