How Kinabase works with your email
Email is where most business conversations happen. Kinabase keeps those conversations attached to the right record
There are four ways email works with Kinabase. You can mix and match them to suit how your team works.
1. Log incoming emails by forwarding
Forward an email (or CC/BCC a Kinabase address) and it is logged as an activity
Forward emails to a specific record, or to your contacts automatically.
2. Work from Outlook with the add-in
The Link to Kinabase add-in brings Kinabase into Outlook. As you read an email, it shows matching contacts and organisations, lets you log the email as an activity, and can create new records - without leaving your inbox.
For System admins - turn the add-in on and install it in Outlook.
Sign in, log emails as activities, and add contacts from your inbox.
3. Send emails from a record
Select one or more records and send an email straight from Kinabase - either through your own email app or from a shared address, with each message logged against its record.
Send from your own email app or from a shared address, to up to 1,000 recipients.
4. Send automated emails
Connect a shared email address, then let Kinabase send on your behalf - as part of an automation
For System admins - connect a shared email address to send from Kinabase.
Automated emails are configured with the Send an email step inside an automation. See Automation steps for how to set the recipients, subject, and content.
Before you start
Most of the settings behind these features live in one place: Settings → Integrations → Email Integration. That is where you tell Kinabase which collections hold your contacts and organisations, and where you turn on the Outlook add-in.
For System admins - map your Contacts and Organisations collections.
