Managing Collections

Organise, rename, and delete your collections


Once you've created a few Collection

s, you'll want to keep them organised, rename one as its purpose evolves, or occasionally remove one you no longer need. This guide covers all three.

Please note: This guide assumes you've already created at least one collection. If you haven't, see Creating Collections first.


1. Organising the sidebar

You must be a System admin to customise the collection sidebar.

1. Open the sidebar

If it's not already open, click the list icon in the top-left of your Kinabase screen. You'll see Dashboard

, Calendar, and Colleague s by default, followed by the collections you've created.

2. Open sidebar customisation

Collections start out listed one after another under a generic "Collections" heading. Hover over this heading and click the pencil icon, or right-click a collection and select Customise sidebar.

3. Create a group

Use the options menu () to rename a group heading, or click + Add Group to create a new one. Create as many groups as you need - "Sales", "Engineering", "Finance", and so on.

4. Reorder collections and groups

Click and drag a collection to reorder it within its group, or drag it into a different group. Use the ⋮⋮ handle next to a group heading to reorder the groups themselves.

5. Show or hide a collection

Hide a collection

Click the eye icon to hide a collection from the sidebar - the icon shows a slash through it. You and your team can no longer see this collection in the sidebar.

Click the eye icon again to show it in the sidebar.

6. Collapse a group

Use the arrow next to a group heading to collapse or expand it, temporarily hiding the group and all its collections to keep your sidebar tidy.

Sidebar organisation tips

  • Use departments for group headings - grouping by department or function (e.g. "Sales", "Engineering", "Finance") helps your team find collections quickly.
  • Order for workflow - consider ordering collections in the general departmental flow or level of detail (e.g. "Projects", "Project Phases", "Deliverables") to make navigation intuitive.
  • Hide reference-only collections - if a collection is purely for reference, or not currently in use, hide it to keep the sidebar clean.

2. Renaming a collection

A collection's name is set in its Configure screen, not from the sidebar.

1. Open Configure

Right-click the collection, or click the menu, and select Configure.

2. Go to Details

Select the Details pane.

3. Update the name

Edit Collection Name, then click Update.

3. Deleting a collection

Collections can't be archived - only deleted. Deleting a collection is permanent: there's no undo, and it cascades to its own lists as well as any other collections or lists that depend on it.

This is different from deleting an individual record. Deleted records move to Recently Deleted and can be restored for 30 days - see Deleting & Restoring Records. Deleting the collection itself has no such recovery window.

1. Open Configure

Right-click the collection, or click the menu, and select Configure, then go to the Details pane.

2. Click Delete collection

3. Review the warning

Kinabase warns you that deletion is permanent, and lists any collections or lists that depend on this one and will be affected.

4. Type the collection name to confirm

You must type the collection's plural name exactly to enable the Delete button.

5. Click Delete

The collection and all its records are removed immediately.
