Record Reports

Chart how a single record's fields change over time

Record reports visualise how an individual record's data changes over time - stock quantities, component costs, or consultancy rates. Build a Line or Bar chart from your record's history, and spot trends without leaving the record.

Unlike collection-level Chart

s, a record report is scoped to a single Record and shown on its own Reports tab.

1. Open the Record Reports configuration

1. Open your collection

Select the Collection

whose records you want to report on.

2. Open Configure

Click the options menu (⋯) and select Configure.

3. Select Reports

Under Display, select Reports.

2. Create a report and a chart widget

1. Add a report

Click Add report, give it a name, and set its permissions. Each collection can have up to six record reports.

2. Add a widget

Click Add a Widget, then give the chart widget a clear Name so there's no ambiguity about what it shows.

3. Choose a chart type

Choose Line or Bar.

4. Configure the specifics

Set the parameters below, then click Add.

Configuring chart widget specifics

  • Filters - narrow the data plotted, based on your record's fields.
  • X Axis - the time dimension of your chart. Select a date field from your collection, or choose History for real-time tracking.
    • If you choose History, set a grouping: Year, Quarter, Month, Day, Hour, Minute, or Second.
    • For Line charts, turn on Default missing values to zero to show gaps in data as zero values - useful for highlighting when changes have occurred.
  • Y Axes - the value dimension of your chart. Select one or more numeric fields from your collection; you can plot multiple fields on the same chart.
    • Turn on Default missing values to zero to show gaps in data as zero values, useful for highlighting when changes have occurred. Leave it off if the value should remain consistent between changes - for example, stock levels.
  • Categorisation - optionally split the chart by another field in your collection.

You can add multiple chart widgets to the same report - repeat step 2 above for each one - and create more than one report by repeating steps 1–2.

3. View a record report

1. Open a record

Navigate back to your collection and open a record.

2. Select the Reports tab

The record panel now has a Reports tab alongside Activities and Tasks (if those are turned on for your collection).

3. Choose a report

If you've created more than one record report, use the dropdown to choose which one to view.

Your chart updates automatically as data changes in your collection. Hover over a data point to see its exact value.
