Sending Emails from Records

You can email the people on your records without leaving Kinabase. Select one record or many, choose how to send, and Kinabase can log the message against each record so the conversation is captured on its timeline.

There are two ways to send, and they suit different jobs:

• From me - opens your own email app for a personal one-to-one (or small group) message.
• From shared address - sends in-app from a team address, to as many as 1,000 recipients at once.

1. Start sending

Select the record or records you want to email - tick their checkboxes, or select all. Then open the options menu (⋯) and click Send email. You'll be asked to select From me or From shared address.

Make sure the records you select have valid email addresses. Kinabase emails the address held on each record.

2. Send from your own email app (From me)

From me hands the message to your own email app. Kinabase opens a new draft addressed to the selected records, so you send it personally from your own address.

• Best for personal, one-to-one messages and small groups.
• You can send to up to 20 records at once this way.
• Kinabase automatically adds the record's forwarding address as a BCC, so the sent email is logged back as an activity

3. Send from a shared address (From shared address)

From shared address composes and sends the email inside Kinabase, using a team address your admin has connected. A modal titled Send email to N recipients lets you set the subject and write the message.

• Best for larger sends - up to 1,000 recipients in one go.
• Every send logs an activity against each record, so the whole timeline stays complete.
• Sends from a shared team address rather than your personal one.

4. Permissions and setup

Sending from records depends on a little setup by your System admin.

Collection email settings

In the collection's configuration, the Email pane controls how sending works for that collection:

• Allow sending emails from default email app - turns on the From me option and its Include Kinabase in BCC to log activities behaviour.
• Connecting one or more shared addresses to the collection turns on the From shared address option.
