Using Kanban Views

Organise records into columns and move work forward visually


Kanban displays records as cards in columns, helping your team see progress and update work without reading a table row by row.

What a Kanban board shows

Each column represents a value from the field selected under Group by. The column header shows the total record count, and more cards load as you scroll.

Every card shows the collection's primary field. It can also show the secondary field, when configured and not used for grouping, plus up to four Card fields selected in the view configuration.

Option boards

Use a single-select option field with predefined options. Configured options remain visible as columns even when they contain no records, unless the view's filters exclude them.

Workflow boards

Use the enabled workflow stages to show each workflow stage as a column. Records with no stage value appear in the default stage column.

Date boards

Group a date field by Day, Week, Month, Quarter or Year, depending on the field's precision. Date columns appear when they contain records.

Open a Kanban board

  1. Open a collection.
  2. Select Display in the toolbar.
  3. Select Kanban.
  4. Open Group by and select an option field, workflow stage or date field. If you select a date field, choose the required precision.

Changing Display or Group by from the toolbar is temporary. If you have permission to configure the collection and are using a saved view, select Set as view default to save the current display, grouping and Kanban sort settings to that view.

Move records between columns

Drag a record card to another column to update its grouping field. Kinabase updates the board immediately and restores the card if the change cannot be saved.

The available destinations depend on the board:

  • On an option board, you need permission to change the grouping field. You can also move a card into the column for records with no value.
  • On a date board, Kinabase moves the date into the selected period while preserving its relative date and time where possible.
  • On a workflow board, you can only move a card when a workflow action connects its current stage to the target stage.

Some workflow actions open a confirmation or form. The stage change is not completed until you finish that step.

Add records from a column

Select the Add button in a column header to open the record form.

  • Option and date boards prefill the grouping field with the column's value.
  • A column for records with no value opens the form without prefilling that Field.
  • Workflow boards show Add only in the default stage column. New records begin in the default stage.

Sort and prioritise cards

Open Sort in the Kanban toolbar to choose a field and direction. These choices control the order of cards within every column.

Select Manual (drag to order) to use the shared manual order configured for a saved view. You can then drag cards within a column, and the order is shared with other people using that view. The selected field sort remains the fallback for cards that nobody has positioned.

Manual reordering is available only when the current board uses a saved view with Manual ordering enabled, and the view has no unsaved display, grouping, sorting or filter changes.

Configure a saved Kanban view

You need permission to configure the collection to create or edit saved views.

  1. Open the collection's Configure menu.
  2. Select Views.
  3. Select Add view, or open an existing view.
  4. In Display, select Kanban.
  5. Choose the Kanban Group Field and, for a date field, the Kanban Group Precision.
  6. Choose the Kanban Sort Field and Kanban Sort Direction.
  7. Enable Manual ordering if the team needs a shared drag-and-drop priority order.
  8. Under Card fields, select up to four additional fields to show below each card's title.
  9. Save the view.

The Kanban grouping list includes workflow stages, readable fields and single-select option fields with predefined options. Option fields that allow custom values are not available.
