AI in Kinabase
Where AI helps, and what it doesn't do
Kinabase uses AI in the features listed below to save you typing and suggest a starting point. Each feature uses the content you submit or the record and collection information described in that section. You review the result before it changes your data.
1. Setting up collections
When you create a collection, you can describe what you want to track in plain English and Kinabase will suggest a collection name, description, icon and a set of fields to match. You can also point it at an existing spreadsheet, or a photo or scan of a paper document, and it will propose a structure from that.

2. Scan & Fill
Scan & Fill fills in a record's fields for you from a file, a photo, or pasted text - for example, uploading a supplier invoice and having Kinabase populate the matching fields, or pasting in an email from a prospective client to create an opportunity record. It supports PDF and Word documents, and JPG, PNG and WEBP images, up to 2MB.
When you create a record from the Outlook add-in, turn on Fill in new records from the email in the add-in's Settings. Kinabase uses AI to suggest details from the message, and you review them before saving. See Using the Outlook add-in.
Always review what Scan & Fill suggests before saving - it may contain errors or inaccuracies.
3. Suggestions while you work
A few smaller AI touches show up as you use Kinabase day to day:
Suggested fields for a new or existing collection, based on its name and the fields it already has.
Suggested follow-up tasks based on an activity’s text. Use Suggest Tasks while logging an activity, or right-click a saved activity (or open its ⋯ menu) and select Suggest follow-up tasks. Review and edit each suggestion before adding it to the record.
Describe the chart you want, or ask a question about a collection, and Kinabase proposes a chart to match.

Describe the result you need and Kinabase proposes a formula. Click fx beside a numeric formula or text template input, type your description, then select Describe it. Review the formula, its explanation and its worked example before clicking Use this. See Using the formula browser.
4. AI-powered search
Global Search (via the search bar or Command + K / Ctrl + K) understands plain-English requests as well as exact matches. Describe the records you're after and Kinabase can suggest a filter to match, or suggest a chart if you're after a summary rather than a list.
